SMART Archive and Purge Dates

The SMART Archive and Purge project is in its final testing phase and implementation will begin soon.

The archive and purge will include all modules.

SMART will be unavailable to users from 6pm Friday until 7am Monday on the following weekends while the archive processes are being run:

August 22-23
August 29-30
 

The SMART Team plans to create a full INF01 (Outbound Supplier Interface File), which will contain all suppliers in the file after archive.  Additional details will be sent directly to the agencies that receive this file no later than August 14, 2020.

As a reminder, the archive and purge process will remove FY11 transaction data from SMART. The only exceptions are for transactions that are still open or Project Costing transactions, which will be “compressed” to display at a summarized level for FY11. Any agency needing to retain data from FY11 will need to run queries and reports before August 21st and save that data at the agency. The purge also includes system attachments tied to FY11 transactions. SMART is not intended to be a repository for documents or historical data.

Finally, any bond-related transaction data should be retained by agencies to meet bond reporting requirements with the Kansas Development Finance Authority.

As a reminder, an archive and purge of system data will be done annually and will result in the removal of the oldest year of data from SMART. An announcement will be sent each year to the user community regarding the anticipated timeframe.
