PCard Changes from Control Account to UMB Account IDs on January 31, 2025

January 23, 2025

Updates have been made to use UMB Account IDs in place of Control Accounts for voucher build payment processing effective January 31, 2025.

For enhanced security purposes, UMB Bank has implemented a new requirement that Account ID Numbers, assigned by UMB’s new processor, be automatically referenced by SMART when payments are made to UMB for PCard purchases.  It is anticipated that this change will result in fewer posting errors when PCard payments are received by UMB from State agencies.

When this new procedure is implemented, SMART will automatically replace the Control Account field with a UMB Account ID field pre-populated with the appropriate UMB Account ID as shown below.

Cardholder Profiles

SMART Homepage dropdown > Requisitions & PCards > Procurement Cards > Manage PCards > Cardholder Profile

SMART Cardholder Profile search screen to identify the employee assigned to the Pcard.

Select the tab identified as card data

The control account has been replaced with UMB account ID

Agencies will need to select the appropriate UMB Account ID for any new cards added after January 31, 2025, consistent with existing practices.

Agencies also need to be aware that PCard payments to UMB will still reference Control Accounts (listed as the invoice number) after January 31, 2025, if the workflow approval process has not been completed for any vouchers that were built BEFORE the January 31, 2025.

Thank you,

The SMART Team
