This notice is to all non-regent state agencies:
UMB recently sent out letters to State of Kansas agencies indicating the 2018 P-Card rebate to be paid in January 2019 will be transmitted using an ACH payment method instead of a mailed check. The letter also requested that each agency complete and return to UMB a W-9 and an ACH Authorization & Agreement. Each agency should not complete the forms. Instead, the Department of Administration, Office of the Chief Financial Officer will submit one set of forms to UMB on behalf of all non-regent agencies. The main State of Kansas account with US Bank will be used to receive all rebate payments.
In January 2019, UMB will issue each agency a separate payment. Notifications will be sent to each agency 7-10 days before the 2018 rebate payments are processed. The notification will include the payment date and amount. Agencies will need to enter a corresponding deposit in the SMART Accounts Receivable module. More detailed information will be sent in January.
