Upcoming SMART Changes and Weekend Availability

This blast is intended to provide SMART users with an outline of the key changes they can expect to see as a result of this coming weekend’s upgrade from PeopleSoft Image 36 to Image 45. Please review the Changes Users Will See in PeopleSoft 9.2 Image 45 document for detailed information.
There are a few outstanding issues from the upgrade that users should be aware of:
- Users of the Expense module should note that the functionality to assign new approvers to an approval pool contains a defect and is not working at this time. This defect will be fixed in an upcoming system patch. In the meantime, if agencies need to add an approver to an approval pool, please open a Kansas Service Desk ticket to request the change. The central team will be able to make this update on the agency’s behalf. Users will be notified when the defect has been resolved.
- Users of the Expense module should also be sure to read the attached document for changes to how the Meals & Incidental Expenses expense type functions.
- Users of the Customer Contracts module will receive an error message when using the page to review As Incurred Revenue accounting entries. This defect will be fixed in an upcoming system patch. Users can review their customer contract revenue by utilizing the KS_GL_ACTUALS_DETAIL_ALL_DT query.
- When adding Suppliers, if a user attempts to upload an attachment file type that is not an allowable file extension (.exe files, for example), be aware that previously uploaded documents in the attachment pop-up window will be removed from the page and, if the supplier record was not previously saved, those attachments will not be saved with the supplier record. It will not remove any attachments that were already saved to the supplier record.
- Some search pages are wrapping the results grid onto a 2nd line. The upgrade added a character limit to each column of the search page results grid. When the characters in that column exceed the limit, the text will wrap as shown below. This issue will be fixed in a future upgrade.
Also, please remember that due to this weekend’s upgrade work, SMART will be unavailable to users from 7 p.m. Thursday until 6 a.m. Monday. If agencies take deposits to the State Treasurer’s Office on Friday when SMART is down, please be sure to include a completed deposit form.
An announcement will be sent to users by early Monday morning confirming the upgrade has been completed successfully and the system is available. The URL to the SMART signon page is not changing. Users are reminded to clear browser cache before logging in the first time and to expect the system to perform slower than usual while system cache is rebuilt.
